Prerequisites:

  • When restoring within a network version, all users must be out of HeavyBid and there must be no locked HeavyBid files on the server prior to restoring system files.
Note: This process will overwrite system files. Please ensure there is a backup of the current environment prior to proceeding.

How to Restore System Files from Backup:

  1. Navigate to Menu > File > Restore > System.
  2. Click Browse and navigate to the location of the system backup to be restored (named HCSSDAT.zip by default).
  3. Select all desired databases to restore:

  1. Click Restore System.

Standard Files Available to Restore:

  • Activity Codebook - Restores all system-wide activity codes as well as all data linked to each activity code.
  • Material/Other Resource Codebook - Restores all resource codes, descriptions, unit costs, units of measure, and levels for all codes set up within the Material/Other Resource Codebook.
  • Biditem Codebook - Restores all state or province biditem codes set up within the Biditem Codebook. This also restores any low, average, or high prices, as well as any library biditems, activities, resources, and summary codes linked to each biditem code. 
  • Equipment Codebook (COMP only) - Restores all equipment codes, along with related data, for codes set up within the Equipment Codebook.
  • Activity Summary Classes (COMP only) - Restores Activity Summary codes and corresponding descriptions.
  • Vendor/Business Contacts (ADV+) - Restores all vendor codes and related information for codes set up within system Vendor/Bussiness Contacts.
  • Cost History (ADV+) - Restores all jobs set up under Cost History.
  • System Quote Folders - Restores settings from the System Quote Folders window.
  • Calculation Templates - Restores spreadsheet calculation templates.
  • Metric Conversions - Restores conversion factors used by HeavyBid to convert between Metric and Imperial units.
  • Estimate Filters - Restores the list of estimate filters.
  • Batch Reports (COMP only) - Restores batch reports - reports that can be grouped and printed together, saving time from printing individual reports manually.
  • Word Bid Proposal Templates - Restores Word Bid Proposal templates.
  • DOT Format Files - Restores bidform formatting and DOT entity information.
  • Export to Accounting Files - Restores information pertaining to exporting to accounting/costing systems.
  • Query Reports - Restores company-wide query report templates.

Non-Standard Files Available to Restore:

Note: The following files should only be restored to the same HeavyBid system install used to create them.
  • User Information - Restores user names linked to each user login number. 
  • Report Headings (ADV+) - Restores customized report headings for specific reports.
  • Directory of Estimates - Restores file holding the data displayed in the open estimate screen. If restoring an old backup or a backup from another system, the open estimate screen will not accurately reflect existing estimates. (This does not restore non-existing estimates, it simply controls the visual aspect of the open estimate screen).
  • Spell check Files - Restores spell check dictionaries.
  • Invitation to Bid - Restores information contained within the Invitation to Bid subsystem, including invitations, letters, and communication logs.
  • Misc - Restores miscellaneous system data, including user-defined labels, key indicators, and vendor types.
